4. Third-Party Services

We use the following third-party services to operate E-Fax Easy. Each service has its own privacy policy governing how it handles data:

• VoIP.ms — Telecommunications carrier for fax transmission. Fax data passes through their network during transmission.
• Stripe — Payment processing. Stripe collects and stores your payment information directly. We receive only confirmation of payment status.
• DigitalOcean — Cloud infrastructure hosting. Our servers and fax processing systems are hosted on DigitalOcean infrastructure.

5. Data Storage and Retention

Fax documents are stored on encrypted servers. Sent and received faxes are retained for 90 days (30 days for Free tier accounts), after which they are permanently deleted. Account information is retained for as long as your account is active. Upon account deletion, personal data is removed within 30 days.

6. HIPAA and Protected Health Information

E-Fax Easy is designed with security features suitable for handling sensitive documents. For customers subject to HIPAA, a Business Associate Agreement (BAA) is available on Enterprise Plus, Enterprise Pro, and Enterprise Ultimate plans. If you transmit protected health information (PHI) through the service, it is your responsibility to ensure a BAA is in place and that your use of the service complies with applicable regulations. We implement administrative, technical, and physical safeguards to protect the confidentiality and integrity of data transmitted through our service.

7. Cookies and Tracking

E-Fax Easy uses essential cookies to maintain your login session and remember your preferences. We do not use third-party advertising trackers or sell your data to advertisers. Session cookies expire when you close your browser or after a period of inactivity. We may use basic analytics to understand aggregate usage patterns for the purpose of improving the service.

We implement industry-standard security measures to protect your data, including encrypted fax transmission via T.38 protocol, HTTPS encryption for all web traffic, and secure server infrastructure.
